Job Title: Executive Assistant
Hours: Part-time (3 days a week)

Located in the heart of the country town of Cooma, our boutique firm is seeking a highly skilled and enthusiastic Executive Assistant to support our Registered Surveyor in delivering exceptional results to our clients. With a strong focus on personal attention and tailored services, we’re looking for someone who is not only proficient in administrative tasks, but also has a keen eye for detail, excellent communication skills, and a willingness to learn and adapt when required.
As our Executive Assistant, you’ll provide administrative support to our registered surveyor, ensuring the smooth operation of our office and the successful delivery of projects. This is an excellent opportunity to work with a dynamic and experienced team, providing administrative support to a busy professional.
Key Responsibilities:
- Provide administrative support to the Registered Surveyor, including managing their schedule, calendar, and correspondence.
- Coordinate and prepare presentations, reports, and other documents as required.
- Maintain accurate and up-to-date records, including client files, project records, and correspondence.
- Manage and maintain the survey office’s database and other software systems.
- Coordinate travel arrangements.
- Coordinate fleet management.
- Provide general administrative support to the survey team, including answering phones, responding to emails, and performing other administrative tasks as required.
- Liaise with consultants and stakeholders as required.
- Liaise with clients, and ensure professional and accurate communications are delivered.
- Assist with the preparation of tender documents, proposals, and other business development materials.
- Maintain confidentiality and handle sensitive information with discretion.
Requirements:
- Diploma or degree in Business Administration, Office Administration, or a related field.
- 3+ years of experience as an Executive Assistant or in a similar administrative role.
- Excellent organisational and communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to take initiative and problem-solve.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to prioritise tasks effectively.
- This role requires on-site work at our office location. Remote working or Working from Home is not available.
DESIRABLE:
- Experience working in construction, engineering, real estate, or law-related industry.
- Knowledge of land surveying principles and practices.

WORK ENVIRONMENT:

Need a mentor to get through registration?
There’s no requirement to be a registered surveyor for this position, but if you’re actively improving your cadastral surveying skills and seeking registration, we’re willing and able to mentor you through the process.
